Background:

MIT has recently secured a contract from the Community of Madrid to establish the Madrid-MIT M+Vision consortium.

The Madrid-MIT M+Vision Consortium is a Global initiative dedicated to strengthening and expanding Madrid’s position as an emerging global center of biomedical research, specifically in the broad area of biomedical imaging. For that purpose, the consortium offers a variety of programs that leverage existing and new strengths in Madrid and Boston. One of these is a new Fellowship that was launched in the summer of 2011, and that is designed to accelerate cutting-edge research in translational biomedical imaging and to establish new enterprises in Madrid. During the Fellowship, talented young professionals from all over the world work together and conduct biomedical imaging research and development in Madrid and Boston. Other programs include membership plans designed to expand faculty and institutional involvements in the Consortium. In order to support both major programs, the Consortium runs a number of educational and outreach courses and symposia.

Position Overview: Based at MIT Cambridge, MA, the Program Administrator provides counsel, comprehensive support and management for all aspects of the project including: infrastructure, reporting and financial management; general administration of the Fellows Program; community building; and consortium membership. The Program Administrator is seen as an essential member of the management team, helping the consortium meet its yearly milestones and support the foundation for the success of Madrid-MIT M+Vision.

Principal Duties and Responsibilities (Essential Functions):

  • Work with the faculty director to plan project and program elements.
  • Serve as an interface between the international program and its clients, and regulars
  • Identify and seek solutions for problems on all administrative matters
  • Monitor budgets
  • Project specific responsibilities in collaboration with the Madrid-based Program Administrator:  Will evolve with project, but at present include:
    • Manage recruitment program, including modern strategies (mailing lists, Facebook, Twitter, etc), events, etc.
    • Manage selection process and committee, including communications with candidates and recommenders, review process, interview arrangements, etc.
    • Manage course and symposia planning and execution.
    • Prepare documentation for the Consortium, including reports and plans
    • Prepare proposals for further funding opportunities
  • Communications, e.g.
    • Interface with communications team
    • Developing program-specific communications (congruent with branding framework provided by communications team)
    • Provide content needed to maintain an active up-to-date website
    • Provide content for monthly newsletters
  • Work in conjunction with the Madrid-based Program Administrator and other team members on the above responsibilities.
  • Serve as an advocate and ambassador for the Consortium, internally and externally

Minimum Qualifications & Skills:

REQUIRED

  • A bachelor’s degree and at least three years of relevant program management experience or any combination of education, training and experience that demonstrates the ability to perform the duties of the position. 
  • Ability to lead and work independently in a complex, start-up environment.
  • Ability to prepare and maintain complex reports.
  • Ability to use Excel and relational databases for the purpose of organizing, analyzing and presenting a high volume of data points.
  • Ability to analyze administrative, personnel and organizational problems and identify appropriate solutions.
  • Ability to work effectively with a variety of people, ranging from doctoral and post-doctoral candidates to government officials and corporate sponsors.
  • Experience with international programs and program development.
  • Ability to write clear program communications/announcements for internal and external audiences.
  • Superior interpersonal, organizational, and oral  communication skills.
  • Experience which demonstrates ability to manage and facilitate large projects.
  • Ability to conceive of and execute a “master” plan to achieve specific long-and-short-term objectives.
  • Willingness to travel internationally several times a year.

PREFERRED
Familiarity with MIT and the Harvard teaching hospitals and/or biomedical imaging a plus.

SUPERVISION RECEIVED

General supervision from the Faculty Program Director.  Regular interactions with faculty co-leads.
